Multi-Agent Document Intelligence — Healthcare Compliance & Clinical Documentation
Background
A Health Clinic in Australia comprised a network that processed thousands of clinical documents monthly: patient consent forms, discharge summaries, referral letters, clinical audit reports, and AHPRA compliance submissions. Administrative and clinical staff were spending disproportionate time on documentation workflows, and the network faced increasing pressure from the Australian Commission on Safety and Quality in Health Care (ACSQHC) to tighten document compliance standards ahead of their next accreditation cycle.
Their document ecosystem was fragmented: clinical records in their EMR (MedChart), administrative documents in SharePoint, compliance submissions managed via email, and HR credentialing files stored in a separate HRIS. No system had visibility into the others.
Problem
- Accreditation risk Compliance documents for ACSQHC accreditation were manually compiled and reviewed. Gaps and errors were only discovered late in the cycle, creating last-minute remediation pressure
- Consent form processing Patient consent forms arrived in mixed formats (paper-scanned, digital PDF, EMR-generated) and required manual verification for completeness before procedures, a bottleneck in high-volume day surgery centres
- Clinician credentialing lag AHPRA registration verifications and specialist credentialing documents were tracked manually in spreadsheets. Expired credentials occasionally slipped through, creating clinical governance risk
- Discharge summary delays Discharge summaries were being completed late or incompletely, impacting GP handover quality and patient experience scores
- No unified document visibility Executives had no real-time view of document compliance status across all 9 facilities
Solution
Amorisoft deployed a Healthcare Document Intelligence Agent suite, integrated across MedChart, SharePoint, and the HRIS with no replacement of any existing system:
- Intake and Classification Agent Ingested documents from all three systems plus email; classified by document type, facility, urgency, and applicable compliance framework (ACSQHC, AHPRA, state health department)
- Consent Verification Agent Processed incoming consent forms in real time; checked for completeness against procedure-specific requirements; flagged incomplete forms to nursing coordinators before the patient reached the procedure room
- Credentialing Intelligence Agent Maintained a live credentialing register across all clinical staff; monitored AHPRA registration expiry dates; triggered automated renewal reminders at 90, 60, and 30-day intervals and escalated unresolved cases to department heads
- Discharge Summary Agent Monitored EMR for pending discharge summaries past completion thresholds; nudged responsible clinicians via integrated notification; flagged chronic non-compliance patterns to clinical directors
- Accreditation Readiness Agent Continuously mapped the network's document holdings against ACSQHC NSQHS Standards requirements; maintained a live compliance gap register updated daily
- Executive Intelligence Agent Delivered a unified compliance dashboard across all 9 facilities, with drill-down by document type, facility, and standard, replacing the previous manual monthly reporting cycle
All agents operated within the network's existing Azure-hosted infrastructure. Patient data handling was designed in full compliance with the Australian Privacy Act 1988 and the My Health Records Act 2012. No patient data was used for model training.
